About the role

We are currently seeking a highly organised and proactive Project Administration Manager / Personal Assistant to join our team in Brisbane. This role will initially be based in our Brisbane CBD office before transitioning to a site-based position on the Southern Sunshine Coast for the duration of the project.


This is a dynamic, fast-paced role that will support both the day-to-day operations of the project office and provide high-level administrative and executive support to key project leaders.


Key responsibilities

In this role, you will be responsible for ensuring the smooth operation of the project office while providing efficient administrative and personal assistance support. Your duties will include:

  • Acting as the first point of contact/front of house, managing the day-to-day running of the project office
  • Providing Personal Assistant support to the Alliance Manager, as well as administrative support to the broader leadership team (2–3 senior stakeholders)
  • Managing diaries, calendars, and meeting coordination, including scheduling, rescheduling, and prioritisation
  • Coordinating and preparing meetings, agendas, minutes, and action items.
  • Supporting the throughput of visitors, contractors, and stakeholders, ensuring a professional and welcoming experience
  • Coordinating travel arrangements and accommodation bookings for project personnel as required
  • Assisting with office and team events, including planning, logistics, and execution
  • Assisting with project reporting, data entry, and general administrative tasks
  • Liaising with internal and external stakeholders to ensure effective communication and coordination
  • Supporting the team with ad hoc administrative tasks to meet project deadlines and operational requirements


About you

  • Proven experience in a Project Administrator, Personal Assistant, or Team Coordinator role, ideally within construction, infrastructure, or project-based environments
  • Demonstrated experience supporting senior leaders/executives with high-level administrative and diary management tasks
  • Strong ability to manage multiple priorities in a fast-paced, deadline-driven environment
  • Experience coordinating meetings, travel, and events, including logistics and stakeholder management
  • Confident in acting as front of house, with a professional and approachable manner
  • Ability to handle confidential information with discretion and professionalism
  • Experience supporting site-based or project teams (desirable, especially for the transition to Sunshine Coast role)
