About the role

We are currently seeking a Senior Administration Officer / Personal Assistant for the Fremantle Traffic Bridge project in Perth, WA. This role offers great career prospects with a privately-owned tier 1 constructor and international engineering enterprise. As a Senior Administration Officer, you will perform diverse secretarial duties and delegated administrative assignments utilising knowledge of Company policy and procedures to support a Senior Manager. You will also ensure that adequate and effective support is available to the Senior Leadership team and that administrative tasks are carried out in accordance with the Administration and Office Management policies and procedures. 

Key responsibilities

  • Administration support to Project Leadership team as required, including meeting minutes taking, formatting and distribution of project-wide correspondence
  • Diary management for leaders
  • Assist with the management of archiving and/or retrieval of documentation for projects and office-based personnel via the Archive Coordinators
  • Prepare monthly and quarterly corporate reports in accordance with a specified schedule
  • Perform nominated administrative and secretarial duties as required for effective operation of the Senior Manager
  • Monitor mail, and other materials, and dispatch to appropriate personnel as required
  • Obtain and organise information for use in conferences, speeches and reports as requested by the Senior Manager
  • Coordinate and allocate appointment times for the Senior Manager
  • Organise and facilitate travel and other business requirements of the executive
  • Manage office seating plans & car parking allocation as required
  • Manage of desk booking system including updating of floor and seating plans.
  • Execute office floor plans and manage office desk name tags

About you

  • 3+ years’ experience in Construction administration
  • Advanced knowledge of the Microsoft Office package
  • Experience supporting Senior Executives and the ability to manage multiple direct leaders and calendars
  • Proven experience in broad administrative duties including, but not limited to extensive diary and travel management, expenses, and coordination of meetings, agendas, materials and presentations
  • Ability to handle and prioritise multiple tasks in a rapidly changing environment where adaptability is critical
  • The ability to provide technical guidance on planning, organising, prioritising, and overseeing activities to efficiently meet project requirements, whilst interpreting and understanding business process’ and procedures
  • Supports business processes without supervision by understanding and effectively using standard office equipment, Microsoft Office package and COINS or similar, while providing technical guidance
