We are currently seeking a Senior Proposals Design Coordinator to work as part of our Proposals Team on a 12-month fixed-term contract to cover maternity leave starting in late October 2026 based out of North Sydney. The role provides specialist production leadership, design governance and document systems support to ensure submissions are visually engaging, brand-aligned, compliant, consistent and delivered to a high standard under significant time pressure. 

It plays a critical role in work-winning by leading the production, presentation and visual communication of high-quality submissions, presentations and client-facing material. The role transforms complex technical information into clear, compelling and client-focused communication that strengthens proposal storytelling, improves readability and supports positive client engagement.

Key responsibilities 

Visual communication and proposal storytelling

  • Translate complex technical information, data, win themes and strategic messages into visual stories that improve understanding, readability, retention and client confidence.
  • Develop fit-for-purpose document graphics, proposal packaging, presentations and key message visual communication that strengthen proposal storytelling and client engagement.

Production management and submission delivery

  • Coordinate production schedules, document flow, review cycles, formatting, proofing and final collation of allocated bid submissions to ensure polished and compliant outputs are delivered on time.
  • Undertake final production checks for pagination, cross-references, headers, footers, figure/table numbering, image resolution, document consistency and output quality prior to submission.

Governance, quality and compliance

  • Support Laing O’Rourke procedures, policies and guidelines, and champion company style guides, brand standards, accessibility principles and submission requirements to ensure consistent, compliant and professional outputs.
  • Provide quality assurance across proposal material, including structure, presentation, formatting, readability, consistency and alignment with submission requirements.

Systems, templates and production resources

  • Create, manage and maintain Bid ProPort workspaces, including day-to-day management of the Laing O’Rourke Proposals Portal, document structures, permissions, version control, workflows and production systems.
  • Prepare template designs, manage their distribution and establish, maintain and continuously improve proposal templates, style guides, graphic assets, icon libraries and reusable production resources.
  • Source, edit, manage and maintain imagery, icons, graphics and supporting visual assets, ensuring appropriate quality, consistency, permissions and alignment with brand requirements.

 

About you 

Essential experience

  • Extensive experience in bid production, proposal coordination, graphic design, visual communication, document management or related work-winning environments.
  • Demonstrated ability to deliver high-quality submissions, presentations and client-facing communications under tight deadlines and competing priorities.
  • Experience working with multidisciplinary teams to convert complex technical content into clear, client-focused communication.

Highly regarded experience

  • Experience in construction, engineering, infrastructure or professional services sectors.
  • Experience leading visual communication standards, proposal templates, production systems, design governance or continuous improvement initiatives.
