About the role

We are seeking a professional highly organised and proactive Receptionist/Facilities Officer to join our Corporate Head Office in North Sydney. This role is the first point of contact for visitors, clients and employees and is responsible for ensuring the smooth day-to-day operation of the office environment.

The ideal candidate will have demonstrated experience building positive relationships with internal and external stakeholders, coordinating office operations, and contributing to a positive workplace culture. They will possess exceptional organisational skills, strong attention to detail and a proven ability to manage multiple priorities while delivering outstanding administrative and customer service support. 

 

Key responsibilities

Reception & Front Office Management

  • Greet and welcome clients, visitors and contractors ensuring all visitors are registered through the visitor management system and relevant employees are notified of their arrival.
  • Manage incoming telephone enquiries and direct calls appropriately, including providing overflow support to other office locations as required.
  • Maintain a professional, organised and welcoming reception environment.
  • Coordinate incoming and outgoing mail, couriers, deliveries and catering requests.

Facilities & Office Coordination

  • Ensure staff kitchens, coffee machines, meeting rooms, and common areas are maintained to a high standard, fully stocked, and presented professionally.
  • Monitor stock levels for kitchen supplies, stationery and mailroom consumables to support business requirements.
  • Submit and coordinate tenant service requests with building management.
  • Manage the Corporate Facilities email inbox and respond to requests in a timely and professional manner.
  • Assist with office space planning, seating allocations and workplace coordination for project and business teams.
  • Support office security processes, including the administration of access cards, visitor passes, and security registers.
  • Coordinate seating arrangements and access requirements for employees, contractors, consultants, visitors, and project teams.
  • Provide relief support for Facilities Officer responsibilities as required, including access card administration, locker allocations, office security, building maintenance coordination, and other facilities-related activities.

Administration & Operational Support

  • Process purchase orders and invoices through the internal system.
  • Assist with video conferencing and meeting room technology, escalating technical issues to IT where required.
  • Provide general administrative support and undertake additional duties as required to support business operations

 

About you

  • Demonstrated ability to build strong relationships with stakeholders at all levels.
  • Strong organisational and time management skills with a high level of attention to detail.
  • Ability to work independently, prioritise competing tasks and take initiative.
  • Experience supporting office operations facilities management and administration functions.
  • Strong communication skills, both written and verbal.
  • Proficient in Microsoft Office and administrative systems.
